Policy
1. Overview
At Knowthira Grid, we are committed to delivering high-quality language education and ensuring that our students are satisfied with their learning experience. This Refund Policy ("Policy") outlines the circumstances under which refunds, credits, or adjustments may be issued for Services purchased from Knowthira Grid. This Policy is an integral part of our Terms of Service, and all purchases are subject to this Policy. By enrolling in any course or purchasing any Service, you acknowledge that you have read, understood, and agree to the terms set forth below.
We encourage you to carefully review course descriptions, formats, schedules, and prerequisites before making a purchase. If you have any questions about whether a particular course or program is right for you, please contact us prior to enrollment. We are happy to provide guidance to help you make an informed decision.
2. Live Online Sessions and Intensive Tracks
Live Online Sessions (one-on-one and small group) and Intensive Tracks involve real-time instruction with scheduled sessions. The following refund terms apply specifically to these formats:
2.1 Cancellation Before First Session
If you cancel your enrollment in a Live Online course or Intensive Track at least seven (7) calendar days before the first scheduled session, you are entitled to a full refund of the tuition paid, minus a non-refundable administrative fee of twenty-five dollars ($25.00) per course enrollment. To cancel, you must notify us in writing by email or mail using the contact information in Section 8. The date of receipt of your written cancellation notice will determine eligibility for a refund.
If you cancel your enrollment less than seven (7) calendar days before the first scheduled session, but before the first session has commenced, you are entitled to a fifty percent (50%) refund of the tuition paid, minus the non-refundable administrative fee of twenty-five dollars ($25.00).
2.2 Cancellation After First Session
If you cancel your enrollment after the first session has commenced but before the third session has taken place, you may be eligible for a pro-rated credit toward future Services. The credit amount will be calculated based on the number of remaining sessions in the course or track, minus an administrative fee of twenty-five dollars ($25.00) and the cost of any sessions already delivered (valued at the per-session rate). No cash refunds will be issued after the first session has commenced.
For example, if you enroll in an eight-session course for $400.00 ($50.00 per session) and cancel after attending the first session, you may receive a credit of $325.00 ($400.00 - $50.00 - $25.00) applicable to any future Knowthira Grid Service. This credit is valid for twelve (12) months from the date of issuance.
2.3 Cancellation After Third Session
No refunds or credits will be issued for cancellations received after the third session of any Live Online course or Intensive Track has commenced. At this point, the Services are deemed substantially delivered, and we have committed instructor resources and scheduling based on your enrollment.
2.4 Missed Sessions (No-Shows)
If you fail to attend a scheduled live session without providing at least twenty-four (24) hours' prior notice, the session will be considered a "no-show" and will be forfeited. No refund, credit, or make-up session will be provided for no-shows. In the case of one-on-one sessions, your instructor will wait for fifteen (15) minutes from the scheduled start time before marking the session as a no-show. In the case of group sessions, the session will proceed as scheduled regardless of individual student attendance.
If you provide at least twenty-four (24) hours' notice of your inability to attend a session, for one-on-one sessions only, you may be eligible to reschedule the session at a mutually agreeable time, subject to instructor availability. This courtesy rescheduling is limited to two (2) instances per eight-session block. Group sessions cannot be rescheduled for individual students.
2.5 Cancellation or Rescheduling by Knowthira Grid
In the rare event that Knowthira Grid must cancel a session or course (due to instructor illness, technical failure, or other unforeseen circumstances), we will make commercially reasonable efforts to reschedule the session at a time convenient for the majority of participants. If rescheduling is not possible or the new time does not work for you, you will receive a pro-rated credit or refund for the canceled session(s) only.
3. Self-Paced Courses
Self-Paced Courses consist of pre-recorded content, digital materials, and asynchronous assignments that are made available to you immediately or shortly after purchase. Due to the digital nature of these products and the immediate access granted, our refund policy for Self-Paced Courses is more restrictive.
3.1 Refund Eligibility
A full refund for a Self-Paced Course is available only if: (a) you request the refund within seventy-two (72) hours of purchase; AND (b) you have not accessed, viewed, or downloaded more than ten percent (10%) of the course content. We monitor content access through our Learning Management System to verify eligibility. Access includes, but is not limited to, streaming video content, downloading PDFs or audio files, or viewing more than the introductory module.
Once you have accessed more than ten percent (10%) of the course content, or after seventy-two (72) hours have elapsed from the time of purchase, the course is considered fully delivered and non-refundable. No exceptions will be made to this policy.
3.2 Course Access Period
As stated in our Terms of Service, access to Self-Paced Course materials is granted for a period of twelve (12) months from the date of enrollment. It is your responsibility to complete the course within this access period. No refunds or credits will be issued if you fail to complete the course within the allotted time. You may request an extension of access for an additional fee, subject to our sole discretion.
3.3 Technical Issues
If you experience persistent technical difficulties that prevent you from accessing the course content, you must notify our technical support team immediately. We will work diligently to resolve the issue. If the issue is determined to be on our end and cannot be resolved within a reasonable time (generally five (5) business days), we may, at our discretion, offer an extension of your access period or a pro-rated refund. Technical issues arising from your own device, internet connection, or software configurations are your responsibility and do not qualify for a refund.
4. Subscription Plans and Recurring Payments
Some of our Services may be offered on a subscription basis with recurring monthly or annual payments. This section applies to any such subscription plans.
4.1 Cancellation of Subscription
You may cancel your subscription at any time through your account settings or by contacting us in writing. Upon cancellation, you will retain access to the subscription benefits until the end of your current billing period. Your subscription will not renew for subsequent periods, and no further charges will be incurred. Cancellation does not entitle you to a refund for any portion of the subscription fee already paid for the current billing period.
4.2 Refund for Annual Subscriptions
For annual subscription plans paid in advance, you may request a pro-rated refund if you cancel within the first thirty (30) days of the initial annual term. The refund amount will be calculated as the total annual fee paid, minus the cost of one month of service at the standard monthly rate for each month (or partial month) elapsed, minus a fifty-dollar ($50.00) early termination fee. No refunds will be issued for cancellation of an annual subscription after the first thirty (30) days of the term.
5. How to Request a Refund or Credit
All requests for refunds or credits must be submitted in writing. To ensure proper tracking and timely processing, please follow the procedure below:
- Compose a written request: Send an email to the address listed in Section 8. Your email should include your full name, the email address associated with your Knowthira Grid account, the name of the course or Service purchased, the date of purchase, and a brief explanation of the reason for your request. Alternatively, you may mail a written request to our physical address.
- Allow for Processing Time: Upon receipt of your written request, we will review it to determine eligibility under this Policy. Please allow up to ten (10) business days for us to process your request and respond. We may request additional information to verify your identity or the details of your purchase.
- Refund Method: If your refund request is approved, the refund will be issued to the original method of payment within fourteen (14) business days of approval. Please note that depending on your financial institution, it may take additional time for the credit to appear on your statement.
- Credit Issuance: If you are eligible for a credit toward future Services, we will apply the credit to your Knowthira Grid account. The credit will be visible in your account dashboard and can be applied during the checkout process for any future enrollment. Credits expire twelve (12) months from the date of issuance, as noted in Section 2.2.
6. Exceptions and Discretionary Refunds
The refund terms set forth in this Policy are generally applied strictly and uniformly. However, Knowthira Grid reserves the right, in its sole and absolute discretion, to make exceptions to this Policy in extraordinary or extenuating circumstances, such as documented medical emergencies, military deployment, or bereavement. Any such exception must be approved in writing by an authorized representative of Knowthira Grid and shall not be construed as a waiver of our right to enforce this Policy strictly in any other instance. The existence of one discretionary exception does not create a precedent or obligation for future exceptions.
7. Chargebacks and Payment Disputes
We encourage you to contact us directly to resolve any billing concerns or disputes before initiating a chargeback with your credit card company or payment provider. Chargebacks are a serious matter that can result in significant fees and administrative burden for our small business. If you initiate a chargeback without first contacting us and allowing us a reasonable opportunity to address your concern in accordance with this Policy, we reserve the right to immediately suspend or terminate your access to all Services and to dispute the chargeback vigorously. You agree to reimburse Knowthira Grid for any fees, costs, or expenses incurred in responding to and defending against an unjustified or improper chargeback, including reasonable attorneys' fees and collection costs.
